Group Acts & Volunteers Meeting | Tuesday, 15 September | Doors open at 19:00, start at 19:30 | Location: Oude Raadhuis

Gobo is our professional partner for sound, lighting and more. They will assess what each act needs to make your performance shine. Make sure you know what you need well in advance. During the scheduled meetings, GOBO will explain the possibilities and requirements.

As the organisation, we will review in advance what each act has requested and what the costs will be within the budget. Do you already have your own lighting or sound equipment, or can you arrange to borrow or rent something? Please don’t hesitate to let us know :-)!

Based on feedback from you as group acts, there will be no audience award this year.

For a toilet break, you can use:

Groups have the possibility to submit expense claims. You will receive the guidelines for this by email.

If you want to enter the town centre by car as a participant or act, please do so before 18:00. If this is not possible, you can request a special parking permit. With this permit, you may enter the town centre on 25 October until 18:30. You can request the permit by email (info@halloweenoirschot.nl).

Please note that you will only be able to leave the town centre by car after 23:00.

Where is the best place to park outside the road closures?

During Halloween, the industrial estate De Stad will be designated as a parking area. Alternatively, you can park your car in the car park at JUMBO; you can leave from there before 23:00.

Safety

Accidents can happen unexpectedly. To ensure the safety of visitors, and especially your safety as a participant, certain safety requirements apply. The project manager will inform you about these requirements in advance. As an organisation, we need to know the following from every group:

  1. Will your act involve working at (great) heights? Always do this safely and make sure you are properly secured. Falls from a height of more than 2.50 metres are not covered by insurance if you are not secured.
  2. Will you be working with fire? You are required to request permission for this in advance. The activity may only take place after approval has been granted.
  3. Are you going to build a special structure or construction? We also need to know about this in advance.

Crowd Management & Visitor Flow

This year, the requirements for entrances have changed. This means that the entrance to your act must be at least 1.50 metres wide if you are building something yourself. We strongly recommend making it even wider. Thousands of people will visit your act, so make sure visitors can move through smoothly. Keep your act short, with a maximum duration of 2 minutes.

Please note! Make sure your act makes good use of height. Something positioned low to the ground will not work well when there are queues of visitors in front of your act. Make sure your act remains clearly visible, even when there are crowds. Use height, create a small platform, hang something up, etc.

Street Lighting

We strongly ask you not to interfere with the street lighting yourself. The streetlights must remain on, also for the safety of visitors.

Promote your act! We would love to know the name of your act, and a short description would be great too. This allows us to inform visitors through the digital map about what they can see and where. Do you also have a photo or logo? Even better!

Please email these to info@halloweenoirschot.nl before 15 October.

We would like to wish you and your act lots of fun. Enjoy it!!!
